Your End of Financial Year Tasks

Software Support

At the end of the financial year there are four procedures you must perform. Please ensure that these are performed at the end of the day on Monday 30th June or prior to beginning entry of July work.
1. Perform a Stocktake
Help Notes can be downloaded from our website www.monkeysoftware.com.au
Optomate Premier Series:
Click on 'Optomate Premier', then select 'Premier Series Help Notes' from the drop-down menu.
Optomate 2003 Series:
Click on 'Optomate 2003' then select '2003 Series Help Notes' from the drop-down menu.
2. Print a Complete Stock Listing
In Optomate Premier Series go to:
- Reports>Stock>Stock Listing Report
In Optomate 2003 Series go to:
- Stock Control>Print Stock Listing Report
This report will give you a stock holding for the
end of the year including your total cost.
3. Print a Management Summary, Patient Trial Balance
and Institution Trial Balance.
In Optomate Premier Series go to:
- Reports>Management>Management Summary
- Reports>Debtors>Patient Trial Balance
- Reports>Institutions>Institution Trial Balance
In Optomate 2003 Series go to:
- Reports>Management Summary
- Reports>Patient Trial Balance
- Institutions>Institution Trial Balance
4. Take a Backup
This backup should be taken on a different zip-tape, CD-ROM, flash drive etc... than you use for regular daily backup’s. Label this backup "End of Financial Year 2008" and file it away.

Optomate Premier Series Roll-out
|
|
The all new Optomate Premier Series continues to roll-out to users. If you are still using the Optomate 2003 Series, here are some reasons for you to upgrade:
- If you are covered under our standard annual software maintenance agreement then this major upgrade is FREE OF CHARGE!
- All new upgrade developments have been introduced into the Optomate Premier Series since its' release mid-2007. The final release of the Optomate 2003 Series (Release 1.08.9.2) was uploaded mid-2007. Please note that prior to upgrading to the Premier Series you must ensure you are running Optomate 2003 Release 1.08.9.2.
- There have been 13 updates released for the Optomate Premier Series already. To see inclusions please visit: http://www.monkeysoftware.com.au/updates.htm
- The new Optomate Premier Series uses the latest database technology making it more stable, faster and more secure.
- You can run a completely paperless practice utilising the all new examination room module in Optomate Premier. This new facility also includes Tablet PC support.
- New Management Reports have been introduced.
- New simpler Patient Letters facility introduced.
- More examination room equipment links introduced, including simpler camera integration.
- The new user interface makes the system even easier to work.
- Optomate Premier is Windows Vista compliant.

Optomate Premier Update Process
|
|
We recommend that you run the "Update Optomate Premier" routine on your Server PC once a week to ensure that your system is up-to-date. The Update process automatically runs a Re-Index and Data Checker utility when it downloads an update, so unlike the Optomate 2003 Series, no manual Re-Index or Data Checker is required. To run an update just double-click on the "Update Optomate Premier" icon on your Server PC then click Next. Please ensure that no-one is running Optomate when you run an update.
If you running the Enterprise (Multi-Branch) edition of Optomate Premier your system will be automatically running software updates so there is nothing you need to do.

Anti-Virus
|
Looking for a Label Printer?
|

If you are upgrading from Optomate 2003 to Optomate Premier, please ensure that you configure your anti-virus software, and firewall if activated, to exclude the \OptomatePremier folder from real-time scanning on the Server and network Workstations.
Our Help Desk may be able to help you with some anti-virus systems, however, if we do not know how your specific anti-virus software works, you will need to contact your supplier. We're happy to liaise with your supplier to guide them through what needs to be done.

We have a number of clients using the Dymo LabelWriters for individual label printing and they work very well. They're networkable, fast and reliable.
If you are looking for a label printer we recommend the Dymo LabelWriter 400 Turbo.

Set your Date Format to Australian
|
|
The Optomate system date format is derived from your Windows operating system settings, so please ensure that all of your computers regional settings are set to Australian.
If using Windows XP, click 'Start> Control Panel> Regional Settings' and ensure that under 'Regional Settings' you choose 'English [Australian]' as shown below:

If using Windows Vista, click 'Start> Control Panel> Clock, Language and Region' and click on the 'Change the Country or Region' link and set to 'Australian'.
Also click on the 'Change the Date, Time, or Number Format' link and set to 'Australian'. If you are a New Zealand user, you can exchange 'Australian' to 'New Zealand' in the above options.

ProVision & Eyecare Plus Benchmark Reports
|

Optomate Premier Series users can access ProVision and Eyecare Plus Benchmark Reports from our website.
Just call our Help Desk on 03 9393 2066 and we will send you instructions on how to download, install and run these reports.

When emailing your suggestion please include as much detail as possible. All reasonable user suggestions are included in our 'to do' list and prioritised for future release.

Please note that the "Medclaims" Medicare claiming facility will be disabled at the end of this month.
 While this will affect terminal based Medclaims-based systems, the Optomate system will be unaffected as we link with "Online Claiming", not "Medclaims".
